Role: HR & Administration Assistant Manager

  • To ensure efficient administrative service and support to office/ Remote employee under HR & Admin function
  • To support HR Department in managing Staff recruitment, engagement, training and other activities for employees

Office Location: Gurgaon Head office, Haryana.

Responsibilities

Ensure efficient administrative service and support to office/ Remote locations

  • Seamless travel arrangements and support to employees through domestic travel, cab bookings, Flight tickets & hotel services
  • Responsible to International travel related work foreign exchange /currency, and other process, Visa Process and passport renewals from time to time, as required
  • Office Stationery and support to employees - Responsible for procuring & maintaining office and pantry inventory, stationery and other daily requirements
  • Responsible for proper printing, courier, telephone, and communication services
  • Ensure Administration for Office premises, infrastructure support and facilitation in coordination with Indiqube
  • Ensure coordination and procurement for office events, meetings, etc. or any other administrative support required

Vendor Management and bill Booking/ Invoicing      

  • Ensure related Vendor Management/ coordination
  • Negotiating with vendors for cost effective services
  • Ensuing all timely and accurate vendor bill booking in SAP.
  • Monthly Provision and invoice submission.
  • Coordination from Finance for vendor payments, issue resolution, etc.
  • Maintaining reports for expenses wherever required.

Lead Recruitment for Staff overseeing Halol HR in Blue collar hiring    

  • End to end recruitment for Staff for all positions in India
  • Support Halol HR in Blue collar hiring
  • Generate relevant resumes using various resources such as, Internal referrals, Naukri, HrGo, Consultants, etc.
  • Conducting Interviews, Communication with related stakeholders
  • Generation of offers and coordinating until joining and ensure adherence to induction timelines.

Employee Confirmation    

  • Ensuring confirmation process is initiated and completed on time.
  • All documentation is maintained duly
  • Feedback is given to employees, timely and effectively

Ensure an engaged & motivating workplace               

  • Drafting Engagement Calendar, implementation of action plans.
  • Implementation actions of engagement initiatives is managed within cost - like Festive celebration, Meeting, Birthdays, Farewell, joining etc. throughout the year
  • Foster participation and ensure active engagement

Support in Training & Development              

  • Support in Identification of training need of each employee through skill Matrix, competency matrix, Manager Feedback
  • Implementation of training plans as per the Training Calendar.

 

Ensure due documentations as per ISO / IATF guidleines

  • Ensure adherence to the plan/ calendar.
  • Capturing & Review of training effectiveness

Ensuring S&E / Value Compliances & other Audit requirements 

  • Support in S&E Compliance in consonance with consultant, statutory bodies with respect to Office Locations, S&E
  • Handle Value Compliances like POSH, etc.

Manage Internal, External Audits.

  • Strive for nil non-conformity in various Audits like ISO, IATF, etc.

Support on providing Harmonious relation in office

  • Ensuring redressal of employee grievances in time.
  • Proactive approach in identification of any such issue & proper communication as appropriate.

Daily Management / Timely compilation of monthly /weekly HR MIS 

  • Support in drafting Policies. Forms and formats
  • Ensuring the timely Updating of trackers / Data, etc.

Maintaining physical and digital personnel records like employment contracts and physical files, confirmations and training attendance, etc.

Job Requirements

Experience

  • 4-5 years of experience in HR & Admin - Manufacturing company

Nature of Experience

  • Experience in recruitment, employee engagement, HR operations, grievance handling, training coordination, and administration.
  • Good Understanding of Travel & Administration in company
  • Hands off experience in End to End Recruitment processes
  • Familiarity with HRIS systems and HR documentation processes.
  • Exposure to ISO and IATF preferred

 

Educational Qualification

  • Graduation in HR / PGDM / MSW / Any Master’s Degree in Human Resources or related field.
